1. Who are we?
BPM Media & Entertainment Facilities (Chamber of Commerce 76599639, VAT NL123456789B01), located at Rondweg 2, 8091 XB Wezep, is responsible for processing personal data as described in this privacy policy. For questions, you can reach us at info@bpm-mef.nl or by phone at (038) 7200 751.
2. What data do we collect?
We only collect personal data that you provide to us, through the forms on this website (quote request, contact form, technical request, DJ registration, or wedding fair registration). Depending on the form, this may include:
- Name and company name (if applicable)
- Email address and phone number
- Address, postal code, and city (e.g., for a wedding fair application)
- Details about your event: type of event, date, location, expected number of guests, desired music styles or concepts
- Desired equipment or technical wishes (in a technical request)
- The content of your message or additional wishes
Additionally, we track anonymized visitor statistics using Google Analytics (see section 5, Cookies).
3. Why and on what basis do we process your data?
We use your data solely to:
- process and respond to your request or quote request;
- in the case of a quote request: prepare the assignment in our planning software (see section 4);
- contact you by phone or email regarding your request;
- improve our service based on anonymized website statistics.
The processing is based on the execution of (pre)agreement: you actively request a quote or information. We never use your data for unsolicited marketing and will never sell it to third parties.
4. Do we share data with third parties?
In order to provide our services, we make use of the following external parties, who act as processors and process your data solely on our behalf:
- Rentman — our planning and project software. In the case of a quote request, we transfer your name, contact details, and event details into this system so that we can schedule the assignment.
- Mailgun — for sending confirmation and notification emails related to your request.
- Google Analytics — for anonymized website statistics (see section 5).
- Our hosting provider in the Netherlands, who technically manages the website and associated database.
We do not share your data with other third parties unless we are legally obligated to do so.
5. Cookies and Google Analytics
On your first visit to our website, we ask for your consent for the use of Google Analytics via a cookie notice at the bottom of the screen. We only place these cookies after you have clicked “Accept.” If you choose “Only necessary,” Google Analytics will not be loaded, and no analytical cookies will be placed.
Google Analytics tracks how visitors use our website, enabling us to improve it. This data is processed by Google, which is bound by the terms of Google Analytics. We do not use advertising or tracking cookies from third parties.
You can adjust your cookie preferences at any time via the link “Cookie settings” at the bottom of each page of this website. This will bring up the cookie notice again, allowing you to change your choice.
6. How long do we retain your data?
We do not retain your data longer than necessary for the purpose for which it was collected: as long as needed to process your request and, in the case of a booked assignment, for the duration of the cooperation. After that, we will retain the data for a maximum of two years, unless a legal retention obligation (e.g., tax administration) requires a longer period.
7. Security
We take appropriate technical and organizational measures to protect your personal data against loss or unlawful use, including a secured (HTTPS) connection and access restrictions to our systems.
8. Your rights
Under the GDPR, you have the following rights regarding your personal data:
- Right to access the data we process about you;
- Right to rectification of incorrect data;
- Right to erasure (“right to be forgotten”);
- Right to restriction of processing;
- Right to object to processing;
- Right to data portability.
Do you want to exercise one of these rights? Please contact us at info@bpm-mef.nl. We will respond to your request within four weeks. If you disagree with how we process your data, you have the right to file a complaint with the Dutch Data Protection Authority.
9. Changes to this privacy policy
We may adjust this privacy policy from time to time, for example, in response to changes in our services or legislation. The most current version is always available on this page.
